SIMPLICITY NOT COMPLEXITY

The Cloud is becoming an increasingly popular choice for a firms IT and Accounting requirements, and we as a practice have embraced this. However, we know from experience that no two businesses are the same, and therefore our approach is to make sure that we can offer you the right accounting and support systems to suit your business, as well as the benefit of our experiences.

That may mean keeping it simple, and using the spreadsheets you are used to, or an upgrade to VT Accounts (still Excel based). Perhaps your business need and training are best suited to Sage and this is still the best system for your organisation.

In addition we can offer support on a number of cloud systems that we have used, and can recommend, but please don't be afraid to bring your receipts in a shoe box if that is what works for you.

1. ACCOUNTING

QUICKBOOKS ONLINE

Our preferred accounting platform as it provides solid functionality, telephone support, and integrates widely with other apps that can be bolted on. Its also the most cost effective and we can offer to clients wholesale for £15/m for the Plus version.

XERO

Still the most talked about cloud accounting system, with great marketing and a user interface that looks good. Its probably got the most integrations of all the software providers but also has some limitations – particularly that there is no telephone support, and also the reporting on tracking (cost centres) is limited. This is the most expensive one on the market at £24/m for standard and £30/m for premium

SAGE BUSINESS CLOUD

Sage finally managed to get a cloud based package that works. There is nothing wrong with it, and often used by book keepers who have been trained through the AAT as its part of the course, but does not have the depth of Xero and QBO. The cost is similar to Xero at £24/m and £30/m for premium but does not upsell as much as Xero.

FREE AGENT

This is making a comeback having been bought by Natwest and now offered free with a business bank account. We can support it and it does the basic accounting needed. However, its not got the same depth as QBO and Xero in terms or reporting and integration.

2. EXPENSES

RECEIPT BANK

Data capture and automated processing of supplier invoices and expenses. We use this a lot with both our own business and busy clients. It’s as simple as taking a photo of the receipt or forwarding the email and Receipt Bank does the rest.

TRIPCATCHER

A useful tool for your mobile phone that assists in tracking business mileage, calculating the VAT you can recover on that mileage

3. DEBTORS

GOCARDLESS

The system allows you to automate the payment of invoices once your customer has agreed, and integrates well with Quickbooks, Xero, Sage and other accountancy software, with the benefit of improving your cash flow and reducing your admin time.

CHASER

the market leading cloud credit control software and super simple to setup, it helps you to automate your credit control and boost your cashflow. The app is well established and helps to reduce your debtors, and the amount of time you spend chasing those outstanding debts.

4. PAYMENT PROCESSING

iZETTLE

Incredibly quick and easy to setup, and a standard rate of 1.75% for card payments. This allows you to take card payments quickly either through the card machine or by sending virtual invoices/payment requests via email. Reporting at the back end is good too.

PAYPAL

This is the most well known of the online card processing providers and that can make it easier for Customers to trust, also very simple to get started. However, the reporting continues to be quite poor, and the rates start at 2.9% plus a fixed fee.

STRIPE

Again simple to start but the pricing is slightly different at 1.4% + 20p per transaction so this can suit companies with larger transactions. The provider has all the usual processing abilities and integrates with a number of other platforms, however the statement reporting for end of month could definitely be improved.

5. REPORTING & FORECASTING

FLUIDLY

A neat forecasting tool that generates future cashflows using powerful Artificial Intelligence algorithms to extrapolate from your existing data. We are currently offering a free three month cash flow for all clients generated by the AI software, and this can be upgraded and developed to 12 months starting at £20/m

SPOTLIGHT REPORTING

provides a quick means to generate more powerful reporting and visual dashboards to assist with the generating meaningful information for management teams. This is part of a suite of Spotlight tools that also includes forecasting at a cost of £25/m.

STAFF SQUARED

This is HR software that is cost effective and we find a big support for running our business, including holidays, expense claims, deadlines, appraisals and so on. The cost is £3.50/m per employee.
